Summary of Responsibilities Clinical Duties Greet and interact with patients, visitors, vendors, and all faculty and staff in a courteous, helpful, professional, and ethical manner. Prepare patients for their visit including: o Pre-visit organization of information required for an efficient in-office experience, performing patient escort and rooming functions (taking vital signs, medication reconciliation, accurate documentation of chief complaint, updating history as requested, updating EMR (Epic) as required). o Providing instructions to patients in a manner that facilitates efficient patient safety and standard operations for the practice. o Assisting patients as needed with walking, dressing, collecting and processing specimens and point of care testing, preparing for exam, etc. Serving as a chaperone in the exam room as requested. o Assisting physicians or other clinical staff with examinations, procedures, and department-specific therapies as requested. o Performing phlebotomy duties and point-of-care tests such as urinalysis and pregnancy tests. o Preparing and labeling collected specimens and ensuring timely delivery of specimens to appropriate designation. o Ensuring that proper labs are drawn and documented via Epic. Assisting in troubleshooting missing labs from Epic as instructed by supervisor. o Entering orders in Epic as required. o Managing a smooth clinic flow by assessing and anticipating physician schedules and using clinical space effectively. o Identifying patients using at least two identifiers. o Notifying physicians and nurses of emergencies and performing first aid. Maintain patient and workplace safety by: o Taking initiative to resolve patient safety and patient experience concerns within the scope of practice/training/education. o Following and adhering to Infection Prevention and Control guidelines. o Creating an environment of safety by utilizing practice standards. o Processing, sterilizing, and organizing instruments daily. o Ensuring that the overall condition of the treatment room is clean and safe according to practice standards. Escalating any issues as appropriate. Ensuring inventory and adequate supply of personal protective equipment and other hygiene products in the patient treatment area. Notifying management when supplies are low and need re-stocking. Perform additional specialty-specific duties as assigned and based on clinical operation needs. Other duties as assigned within professional scope of practice/training/education. Front Desk Support Duties Collaborate with Front Desk staff to expedite the delivery of quality patient care, provide an excellent patient experience and promote patient flow. Duties include: o Managing and tracking the patient flow from arrival until exam room departure using an EMR system, including welcoming and informing patients of any delays. o Serving as a liaison between physicians and other individuals such as patients. o Preparing and maintaining medical charts. o Copying and mailing requests for medical records, ensuring HIPAA compliance. o Performing additional check-out functions such as scheduling, referrals, and additional tasks as needed. o Answering telephone calls and taking accurate phone messages. o Please note: In some practices and based on operational need, the CMA may be required to perform full scope of front desk duties in conjunction with or in lieu of CMA duties (e.g., check-in, pre-registration, appointment scheduling and related follow-up). Administrative AND/OR Role-Specific Duties Maintain diagnostic equipment, perform QC testing, and maintain supporting documentation. Maintain daily refrigerator/freezer logs, monthly AED logs, and other QA logs. Contribute ideas for improving practice workflows to team members, providers, and management. Maintain patient privacy and confidentiality according to HIPAA requirements at all times. Keep current on all organizational, practice, and patient privacy policies (e.g., infection control, HIPAA) and required trainings. Maintain a safe and secure work environment by following all OSHA, EH&S, and public safety policies and guidelines. Minimum Qualifications High school graduate or equivalency and graduated from an accredited Medical Assistant program, plus specialized certifications as needed. CMA must be certified by a credentialing body. Current BCLS/AED certification required. Must demonstrate strong organizational and problem-solving skills. Ability to perform across multi- disciplinary and/or specialties while maintaining high productivity and a professional and service- oriented demeanor. Will provide coverage as requested throughout practices (multiple sites and flexible schedule). Preferred Qualifications Associate degree or additional academic coursework preferred. Previous medical assisting experience in an outpatient setting preferred. Proficiency with OSHA standards including disposal of biohazard waste preferred. Multi-specialty experience in a high-volume setting preferred. Prior EMR experience, Epic preferred.
